Inspektorat Provinsi Gorontalo has made a breakthrough in improving services for stakeholders by launching a WhatsApp-based consultation service called Halo Inspektorat.
This service is designed to facilitate consultations for the public and regional government organizations (OPD) without requiring them to visit the Inspectorate office in person.
According to Hasan Huradju, Secretary of Inspektorat Provinsi Gorontalo, government oversight conducted by the Inspectorate has faced several challenges, particularly in terms of consultation services, which have been relatively limited.
"So far, many stakeholders have been reluctant to visit our office, mainly because the Inspectorate is better known as a supervisory institution. We sought a solution by creating a consultation service that can be accessed anytime and anywhere," said Hasan.
Challenges Before Using Barantum
Before implementing the Barantum system, the Inspectorate team faced difficulties in managing consultation services.
The consultation function, which is part of the Inspectorate’s dual role as both assurance and consulting, had not been fully optimized.
Manual consultation processes were often hindered by limitations in documentation and managing questions and responses.
We struggled to inventory incoming consultations, track responses, and document every interaction with stakeholders. This hindered the effectiveness of our services," said Hasan.
Innovative Solution with Barantum
After searching for solutions online, Inspektorat Provinsi Gorontalo found Barantum as the answer to their challenges.
By utilizing the Barantum system, the WhatsApp-based consultation service is now more accessible and efficient for stakeholders.
"Now, all incoming consultation services are well recorded and can be managed effectively. With Barantum, consultations are also easier to inventory," said Hasan.
One of the key features introduced is the WhatsApp Chatbot, which allows stakeholders to select the appropriate assistant inspector based on their regional government organization (OPD).
"For example, if I am from an OPD in Region One, I can directly choose the assistant inspector for that region without any confusion," he explained.
Inspektorat Provinsi Gorontalo Improves Services by Up to 80%
Since the implementation of this system, Inspektorat Provinsi Gorontalo has experienced significant improvements in the efficiency and accessibility of consultation services.
The percentage of stakeholders using this service has increased dramatically, reaching approximately 70–80%. Now, stakeholders can comfortably seek consultations without the need to visit the Inspectorate office.
"With this consultation service, stakeholders no longer need to hesitate to contact us. They can simply use WhatsApp to communicate directly with the relevant officer," said Hasan.
"This feature has been extremely helpful for us at the Inspectorate, especially the chatbot's autoreply function, as it immediately directs stakeholders to the right contact. This has greatly improved our workflow," he added.
Beyond consultations, Barantum also facilitates complaint reporting, which can be done directly via WhatsApp.
"We also provide a complaint service related to regional governance. Any complaints submitted are immediately connected to the responsible officer, ensuring faster issue resolution," he explained.
Barantum Features That Exceed Expectations
Barantum is not only beneficial for consultations and complaints but also enhances various operational aspects of Inspektorat Provinsi Gorontalo
One particularly useful feature is the WhatsApp broadcast function, which allows the Inspectorate to automatically send messages, such as birthday greetings, to all employees.
"This feature is very useful because every employee celebrating a birthday will automatically receive a birthday greeting from the system," said Hasan.
In addition, Barantum simplifies the issuance of Surat Keterangan Bebas Temuan (Clearance Certificate). Previously, employees had to visit the Inspectorate in person to obtain this document. Now, they can simply request it via WhatsApp, and once processed, the certificate is sent directly to them.
"Government employees often need a Surat Keterangan Bebas Temuan from the Inspectorate. With this service, they no longer have to visit our office. We simply send the completed document through the WhatsApp-based Barantum service," Hasan explained.
With the innovative >Halo Inspektorat WhatsApp consultation service powered by Barantum, the Inspectorate of Gorontalo Province has successfully overcome various service challenges.
This more efficient and accessible service not only improves the Inspectorate's performance but also provides convenience for the public and regional government organizations (OPD) in need of consultations or complaints related to government oversight.
This initiative marks a significant step toward increasing transparency and public participation in the supervision process. With Barantum, service delivery continues to evolve and reach its full potential.
Moving forward, Inspektorat Provinsi Gorontalo plans to further develop and promote this service so that more stakeholders can benefit from it.
